Reviewing Materials

Every marketing material needs to be reviewed before it can be distributed (one-off) or marked as in use (ongoing). The review process uses a checklist to ensure your materials meet your organisation’s standards.


Completing a Review

Open the material from Marketing & Information and select Review

Work through the checklist, marking each item as Yes, No, or N/A

Select your review outcome — Approved or Rejected

You can only approve if all checklist items are marked Yes or N/A. If any item is No, you must reject.

Add any notes if needed and select Submit Review


What Happens After the Review

If approved:

  • One-off materials can now be distributed — select Record Distribution when you’ve sent them
  • Ongoing materials can be marked as in use — select Mark In Use to make them live

If rejected:

  • The material stays in draft so you can upload a corrected version
  • For ongoing materials that are already in use, rejecting flags them for immediate withdrawal

If you reject a material that’s currently in use, you’ll need to either withdraw it or upload a corrected version straight away.


Customising the Review Checklist

RTOSafe provides a default checklist covering common checks — things like correct use of the NRT logo, accurate course information, and honest marketing claims. Review these defaults and adjust them to match your organisation’s requirements.

To customise the checklist:

  1. Go to RTO Settings and select Marketing & Information Checklist
  2. Edit existing items to match your terminology and processes
  3. Add items specific to your organisation
  4. Remove items that don’t apply to you
  5. Drag items to reorder them

Changes apply to all future reviews. Previous reviews keep the checklist items as they were at the time.
