Upload Policies


Before You Start

  • Have your policy documents ready as PDF or Word (.docx) files
  • Know which category your policy belongs to — RTOSafe comes with these pre-loaded:
    • Training and Assessment
    • Third Party Arrangements
    • Student Management
    • Staff Management
    • Quality and Continuous Improvement
    • Marketing
    • Administration
    • Governance

You can add or edit categories in Settings.


Steps

Go to Policies in the main navigation

Select Upload Policies

Find the category your policy belongs to and drag and drop your file into that section

Tip: PDFs are strongly recommended. Staff can read PDFs directly in RTOSafe without downloading, and RTOSafe can analyse the content for compliance searches.


What Happens Next

  • Your policy appears in the Policies list
  • RTOSafe creates agreement requests for all active staff in departments linked to that policy category
  • Staff see the policy in their Staff Portal where they can read and accept it
  • If a review date is set, you’ll see an alert when the policy is due for review
  • Your policy is automatically version controlled — when you upload a new version later, the history is preserved

Common Issues

File won't upload

Check it’s a PDF or Word file. Other formats aren’t supported.

Staff can't see the policy

Make sure the policy category is linked to their department in Settings → Departments.

Policy shows as "Processing"

PDF files take a moment to process. Refresh the page after a minute or two.
